Privacy Policy

How FarmShift handles personal and farm information.

Information we process

We process account details, farm profiles, memberships, registered devices, plan status, credits and the operational records you choose to capture. These may include fuel, fleet, location, rainfall, field work, finance documents, livestock, seed, fertiliser, soil and silo records.

Why we use it

We use information to authenticate users, provide FarmShift features, secure accounts, manage plan limits, support users and meet legal obligations. We do not sell private farm data.

PIN and credentials

Your four-digit quick PIN is converted into a salted verifier stored only on that device. FarmShift servers and Silo do not receive it. Passwords are handled by the authentication provider and are not visible to Silo.

Silo

Silo uses only the information needed for the requested farm support task, such as search, navigation, summaries, categorising, notes and reminders. Do not place passwords, PINs, recovery codes or other login secrets in Silo requests.

Finance documents

Scanned slips and uploaded documents are stored for filing, category organisation and export. Users remain responsible for checking that documents are readable and correct before sharing them with an accountant.

Storage and sharing

Data is stored with contracted infrastructure providers and shared only as needed to operate the service, comply with law or respond to an authorised support request. Access is controlled by farm membership and role.

Access request and contact details

When you send the access request form on the home page, we receive your name, surname, farm name, town or district, province, farming type, phone number, email address and message. We use it only to reply to you, prepare a suitable setup and keep a record of the request. It is not sold, rented or used for unrelated marketing.

How we protect information

Access is limited to the people who need it, traffic is encrypted in transit, farm records are separated by farm membership and role, and your quick PIN never leaves your device. No system is perfect, so please report any suspected account or data problem immediately so we can act quickly.

Data breach handling

If a security incident affects your personal or farm information, we will investigate, take reasonable steps to contain it, and inform affected users and the regulator where the law requires it, with a plain explanation of what happened and what to do next.

How long we keep information

Account, farm and operational records are kept while your account is active. After cancellation, export access remains available for 60 days before active access closes. Records may be retained longer where tax, accounting, legal, dispute or security requirements apply, then deleted or de-identified.

Your rights

Under South African privacy law you may ask what we hold, correct it, object to certain processing, ask for export, or ask for deletion, subject to legal retention and security requirements. Tell us through the Support page and we will respond within a reasonable period. You may also complain to the Information Regulator.

Children and unrelated marketing

FarmShift is a business tool for farm operations and is not aimed at children. We do not send unrelated third-party marketing, and any FarmShift updates you receive can be stopped on request. Last updated: 18 September 2026.
